Almost every delay in a property transaction comes from the same place. Somebody has to produce a document, and it takes them four days to find it.
This is entirely avoidable. What follows is a checklist you can work through on a quiet evening, once, and then keep. It applies whether you are buying, selling, investing or renting, and it will save you more time than any other hour you spend on the process.
Build one folder. Digital is fine, and a scan or a clear photograph of each item is usually enough to start with.
These are the documents a buyer, a lender, a lawyer or a valuer will eventually ask you for.
Your most recent property tax bill and the current assessment notice. A recent utility bill for each service, which also tells a buyer what the place costs to run. Your survey or site plan if one exists. Any building permits and their closing documents, particularly for work on the roof, electrical, plumbing, windows, or anything structural.
Warranties and receipts for major items, with dates. Roof, furnace, air conditioning, water heater, windows, appliances. Buyers ask how old the furnace is in almost every showing, and "I think about ten years" is a much weaker answer than a dated receipt.
Your mortgage statement, showing the balance, the maturity date and the prepayment terms. That last one matters more than most people expect. Selling before your term ends can carry a charge, and the size of it is worth knowing before you decide on timing rather than after.
If the property is a condominium, the status certificate is the central document, along with the declaration, the by-laws, the rules, the reserve fund study and the current budget. If it is rented out, the lease, the current rent, the tenant's details and the record of any rent increases.
Lenders ask for the same things every time, so gather them once.
Photo identification. Two recent pay slips. An employment letter stating your position, your salary and your start date. Your notices of assessment for the last two years, and your T4s. If you are self-employed, two years of financial statements or tax returns and your business registration.
Bank statements covering the last ninety days for every account holding your down payment. This is the item that catches people out. Lenders are required to trace where the money came from, and a large deposit with no explanation will hold up a file. If part of the down payment is a gift, ask for a signed gift letter early rather than in the final week.
A list of your current debts with balances and monthly payments. Car loans, lines of credit, student loans, credit cards.
Names and contact details for your lawyer, your mortgage broker or lender, and your insurance broker. Having all three lined up before you write an offer is the difference between a smooth closing and a frantic one.
Landlords in a competitive market decide quickly, and the applicant who is ready gets seen as the lower risk.
Photo identification. Proof of income, usually pay slips or an employment letter. A credit report, which you can obtain yourself. References from previous landlords with working contact details. If you have a guarantor, their information and their consent, arranged in advance.
Your insurance. Confirm what your policy actually covers and what the deductible is. Confirm what happens if the property is unoccupied for a period, which becomes relevant during a move.
Your title. Confirm that the names on title are what you think they are, and that they are spelled correctly. Errors here are usually trivial to fix with notice and expensive to fix in a hurry.
Name every file so that its content is obvious without opening it. A date and a description is enough. "2026-03 furnace service receipt" beats "scan 47".
Put a note in your diary to revisit the folder once a year. Add anything new, and refresh the items that go stale, which is mainly the pay slips, the bank statements and the mortgage balance.
Nothing in this list is difficult. All of it is boring. That is precisely why it does not get done, and why it becomes urgent at the worst moment.
The people who close smoothly are not luckier than everybody else. They are the ones who spent an hour on this before they needed to, and who could produce the document the same day it was asked for. Everything else in a transaction is negotiation. This part is just preparation, and it is entirely within your control.
